Privacy Policy
Flora Property Maintenance (“Flora”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it. We handle personal information in accordance with the New Zealand Privacy Act 2020 and its Information Privacy Principles.
Who we are
Flora is a property maintenance business operating across the wider Auckland region. For the purposes of the Privacy Act, Flora is the agency responsible for the personal information described in this policy. You can contact us at any time using the details in the Contact us section below.
What information we collect
We only collect information we actually need to quote for and carry out work.
Information you give us
When you submit a quote request through our website form, or contact us by phone, text or email, we collect:
- Your name — so we know who we're speaking with.
- Your phone number — to call you back and confirm scheduling.
- Your email address — to send your quote and confirmations.
- The property address — to inspect the site and quote accurately.
- The service you need, and any details you choose to add about the property or job.
Providing this information is voluntary, but without it we can't prepare a quote or schedule work.
Information collected automatically
We use Google Analytics to understand how visitors find and use our website — for example, which pages are most popular and whether people are reaching us on a phone or a computer. This is reported to us as aggregated statistics, not as individually identifiable information, and we don't use it to try to identify you.
To do this, Google Analytics sets cookies in your browser and collects technical data such as a shortened version of your IP address, your browser and device type, approximate location (usually city level), the pages you view, and the site or search that referred you. This information is processed by Google, which may store it on servers outside New Zealand. You can read how Google handles it in Google's privacy policy and at how Google uses data from sites that use its services.
You can opt out. Install the Google Analytics opt-out browser add-on, block or delete cookies in your browser settings, or turn on your browser's “Do Not Track” setting. Opting out won't affect your ability to use this website or to request a quote.
We do not use advertising cookies, and we don't sell or share this data with advertisers. As with any website, our hosting provider may also record standard technical request data for security and to keep the site running.
Photographs of work
We sometimes photograph completed work for our portfolio. These photos show the work itself, not people. If you'd prefer we don't photograph your property, just tell us — before or after the job — and we won't, or we'll remove existing images.
How we use your information
We use the information we collect to:
- Respond to your enquiry and prepare a quote.
- Arrange a site visit and schedule the work.
- Carry out the services you've asked for.
- Invoice you and keep the tax and business records we're required to keep.
- Contact you about work in progress, or follow up on a recent job.
- Respond to questions, complaints or warranty issues.
We do not sell, rent or trade your personal information. We don't send marketing emails unless you've asked us to, and any we do send will always include a way to unsubscribe.
Who we share it with
We share personal information only where it's necessary, and only with:
- Our team and subcontractors — the people carrying out your job need the address and job details to do the work.
- Our service providers — we use reputable third-party providers to deliver website form submissions to our inbox, to send and receive email, and to issue invoices. They may process your information only to provide those services to us, and are not permitted to use it for their own purposes.
- Google Analytics — website usage data, as described above. This does not include your name, email address, phone number or the details you enter into our quote form.
- Where the law requires it — for example, in response to a lawful request from a government agency or court.
Some of these providers store data on servers outside New Zealand. Where that happens, we take reasonable steps to ensure comparable privacy safeguards apply, as required by the Privacy Act.
How long we keep it
We keep quote enquiries only as long as needed to follow them up. Where work goes ahead, we retain job and invoice records for at least seven years, as required by New Zealand tax law. After that, information is deleted or securely destroyed when we no longer have a lawful reason to hold it.
Keeping your information safe
We take reasonable steps to protect personal information from loss, misuse and unauthorised access. Our website is served over an encrypted HTTPS connection, and access to customer records is limited to people who need it to do their job. No system can be guaranteed completely secure, but if a privacy breach ever occurred that posed a risk of serious harm, we would notify you and the Office of the Privacy Commissioner as the Privacy Act requires.
Your rights
Under the Privacy Act 2020, you have the right to:
- Access the personal information we hold about you.
- Correct it if it's wrong or out of date.
- Ask us to delete it, where we have no lawful reason to keep it.
- Opt out of any non-essential contact from us.
- Complain if you think we've mishandled your information.
To exercise any of these, contact us using the details below. We'll respond as soon as we can, and within 20 working days as the Act requires. There's no charge for making a request.
If you're not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or on 0800 803 909.
Children's privacy
Our services are offered to property owners and occupiers. We don't knowingly collect personal information from children. If you believe a child has given us their information, contact us and we'll delete it.
Changes to this policy
We may update this policy from time to time — for example, if we change the tools we use or the services we offer. The “last updated” date at the top of this page always reflects the current version.
